# AI-Native CRM Prompt Pack

From the webinar "AI for CRM and Follow-Up Automation". Works in Codex or Claude Code. Everything stays in local files you own.

## Step 1: Create the project

Open your workspace in Codex or Claude Code and paste:

```
I am going to be building a CRM from the ground up. I need you to create a new project file inside of my projects folder.
```

## Step 2: Make the agent interview you first

Do not ask it to build a CRM directly. Ask it to question you:

```
We're going to be building a CRM together. For this to be successful, I need you to ask me as many questions as possible regarding relevant information that you will need to work it out. Remember that I use my CRM to keep track of warm leads, cold leads, and current customers.
```

If the list of questions is too long, narrow it for version one:

```
We're going to go very simple for this first version. Just ask me ten relevant questions. We're not going to think about any automation or any integration. We just want to hold a steady flow of information coming from our customers.
```

## Step 3: The answers I gave (adapt to your business)

- Who uses the CRM: only me.
- Contact types: cold lead, warm lead, current customer.
- Each record is one person (companies are not tracked separately).
- Basic contact info, plus messages and the last way the person was contacted.
- Customer information to track over time: last conversation, purchase history, next step, preferences.
- Every contact has a next step.
- Interaction data to capture: channel, summary, sentiment.
- Views: tables, profile page, Kanban, dashboard.

Core fields to make sure are there: status, last method of contact, follow-up date, active customer or not.

Then ask it to open the dashboard in your browser. The data is stored as JSON or CSV files. Keep a backup.

## Step 4: Test the sync with fake data (optional)

```
Give me the list of the customers that are inside of the CRM. Then create a one-off script that uses API calls to Gemini to generate a series of emails, 10 emails for each client, where each email is a thread. Also fake one meeting per customer, one entire transcript. Then we're going to see how we can sync the entire CRM.
```

```
Can you please allow me to visualize all of those exchanges inside of my CRM as well, so I can keep track of all customer communication?
```

## Step 5: Check your real sources are connected

Connect your email and meeting note taker (for example Fireflies) as connectors, then test:

```
Can you get just the names and nothing else of the last ten people that sent me emails and also the names of my last five meetings?
```

## Step 6: The daily sync skill (solo operators)

Turn this into a skill and schedule it once or twice a day:

```
Every single morning at 8 AM, fetch all of my emails and all of the messages and meetings from yesterday, sync everything into the CRM, and tell me what to do. If there is ambiguity, only take into consideration the last thing that was said by the customer.
```

If you work with a team or need live triggers (an email arrives and something happens right away), deploy the automation on the web instead of using a scheduled skill.

## Next layers

- LinkedIn and WhatsApp messages: connect them through Unipile.
- Signals and enrichment: use Apify to check whether a lead posted on LinkedIn lately and whether their company is hiring or investing.
- Nurturing: send useful messages to leads about every two weeks, based on what the CRM knows about them.
